Japan’s has an amazing mass transportation system but handling luggage as you travel is not always easy. Luckily there is a solution and that is to send some luggage to your next hotel or ryokan using Takyubin (pronounced Ta-Q-bin).
We recommend that you send your luggage from one major city to another one, like Tokyo to Kyoto and avoid using this service to send it to more remote areas. If you are going from Tokyo to Hakone and then on to Kyoto you can send your luggage to your hotel or ryokan in Kyoto and just take a day bag to Hakone.
During check in tell the front desk staff that you want to send some luggage to your next destination then ask them when you need to send your luggage so it arrives on time at your next hotel or ryokan. They will hand you a form like the one below to fill out. If you do not understand something just ask the front desk staff as they are experts at this service. You will then pay for the service.

Please write the scheduled date when parcels are to be dropped off at the hotel for the return trip.

Please sign using the same name as the name written for the sender.
Specify the desired delivery date and time zone for the return trip (optional).
10 Desired delivery date
Please enter the desired delivery date (when applicable).
11 Desired delivery time zone
Please circle the desired time zone (when applicable).
Maximum size is the combined length, width and height (A+B+C) is
160cm (about 62 inches) and maximum weight is 25kg (55 lbs)
Present your receipt to the front desk staff at your new hotel or ryokan
